Job Description:

Roles and Responsibilities

  • Support administrative tasks across McNab construction projects, ensuring accuracy and timely completion of tasks.

  • Invoice Coding: Verify receipt of goods, check quantities and rates against purchase orders, create purchase orders if absent, and submit coded invoices for approval.

  • Document Control: Update and manage documents and drawings from consultants during the design phase and periodically thereafter. Upload, check, and publish drawings in Procore and the J drive; conduct weekly audits to ensure accuracy.

  • Concrete Usage Tracking: Review concrete invoices against pour plans, enter forecasted and actual quantities into the concrete register, calculate wastage and surcharges, and report discrepancies to the Contracts Administrator.

  • Payment Schedule Management: Send monthly payment schedules via email, track payment data, and upload into Procore.

  • Collaborate effectively with project teams and stakeholders to maintain smooth administrative operations.

Required Experience

  • Experience in construction administration or project support.

  • Strong attention to detail and organisational skills.

  • Effective communication and collaboration abilities.

  • Proficiency with document control systems (Procore preferred).

Minimum Qualifications

  • Relevant diploma or degree in Business Administration, Project Administration, or related field preferred.

Proficient With

Experience Advantage

  • Prior experience in construction or project administration.

  • Familiarity with project reporting, cashflow tracking, and document control processes.
