Role Purpose:
You will manage the day-to-day health information function, including discharge summaries, medical record requests, subpoenas, documentation, and records governance. You will work closely with clinicians, referrers, clients, legal representatives, and internal teams to ensure medical records are accurate, complete, secure, and handled in accordance with Australian privacy requirements.
IMPORTANT: This role requires a minimum of 3 years' experience in medical records, health information, or clinical administration, with experience supporting an Australian private hospital.
Key Responsibilities
- Prepare and issue inpatient and day patient discharge summaries
- Track outstanding clinician authorisations and follow up with treating clinicians
- Retrieve and release medical records to authorised personnel
- Verify requester identity and authority before releasing information
- Scan, index, and file clinical documentation into electronic health records
- Maintain accurate tracking and audit trails for records accessed and released
- Manage record retention, archiving, and secure destruction
- Prepare medical letters and records of attendance as required
- Receive, log, and action subpoenas, court orders, and legal requests
- Liaise with clients, legal representatives, and court registries
- Compile records for legal proceedings, including redaction and objection processes where required
- Conduct regular file audits and follow up on documentation deficiencies
- Maintain the Medical Records Forms Register
- Support quality improvement, accreditation, and health information management activities
- Ensure compliance with hospital policies and Australian privacy legislation
Requirements
ESSENTIAL:
- Minimum 3 years' experience in medical records, health information, or clinical administration
- Experience supporting an Australian private hospital
- Working knowledge of Australian discharge summary, referrer, and health fund documentation practices
- Experience handling subpoenas, court orders, or third-party information requests
- Working knowledge of the Privacy Act 1988 (Cth), Australian Privacy Principles, and NSW health privacy requirements
- Confident user of electronic health records or patient administration systems
- Proficiency in Microsoft 365, particularly Excel
- Excellent attention to detail and organisation
- Strong written and verbal communication skills
- Ability to handle confidential and sensitive clinical information with discretion
- Ability to work independently and manage competing deadlines
HIGHLY REGARDED:
- Experience in a mental health, psychiatric, or alcohol and other drug setting
- Experience with CareRight and/or DC2Vue
- Qualification in health information management, medical administration, or business administration
