About the Role

The Vendor Onboarding and Management Coordinator would be responsible for managing our subcontractor and supplier lifecycle from identification and onboarding through to compliance management and ongoing review. This role ensures all third parties are prequalified, approved, and maintained within company systems (Nexvia, Hammertech, and Payapps) in line with operational and legal requirements. In addition to maintaining compliance, this position plays an active role in sourcing and engaging new businesses to strengthen our subcontractor and supplier network, supporting the Estimating Team to identify capable partners for upcoming tenders and projects.

Key Responsibilities:

Supplier & Subcontractor Sourcing

  • Research and identify new subcontractors and suppliers across trades, regions, and specialties to expand Unita’s preferred vendor and tender panels.

  • Conduct initial vetting of potential businesses to assess suitability, capability, and alignment with Unita’s quality and safety standards.

  • Collaborate with the Estimating team to match suppliers and subcontractors to project opportunities and tender requirements.

  • Maintain a register of potential new businesses for review and onboarding.

Onboarding & Setup

  • Manage creation and validation of new third-party records in Nexvia, ensuring accuracy and completeness of business, contact, and compliance information.

  • Issue and monitor prequalification invitations, ensuring all required documentation (e.g., insurances, licences, certifications) is submitted and approved.

  • Apply relevant purchase order templates and payment terms in accordance with company policies.

Compliance & Data Management

  • Verify ABNs, licences, and insurances for all subcontractors and suppliers.

  • Conduct periodic supplier reviews and annual database audits to maintain data integrity.

  • Track and manage renewals for insurance, licences, and prequalification approvals.

  • Coordinate blacklisting procedures for non-compliant or underperforming businesses.

System Management & Integration

  • Maintain the integrity of third-party data across Nexvia, Hammertech, and Payapps.

  • Support process automation and continuous improvement initiatives related to subcontractor and supplier management.


Required Skills and Experience:

  • Strong attention to detail with excellent organisational and administrative capability.

  • Strong communication and relationship management skills.

  • Strong research skills and initiative to identify and engage new businesses through online tools, industry directories, etc

  • Nice to have would be someone who has knowledge of construction industry compliance standards (licences, insurances, WHS).

  • Work Schedule: Monday to Friday, 6:00 AM - 3:00 PM
