Roles and Responsibilities
- Coordinate project schedules, timelines, and technician bookings across multiple active jobs.
- Allocate resources based on project priorities and adjust schedules as needed.
- Maintain accurate and up-to-date project documentation, notes, and system records.
- Track project progress and proactively flag delays, risks, or issues.
- Provide clear internal updates to Project Managers and stakeholders.
- Liaise with technicians to ensure they are well-prepared with job scope, documentation, and requirements.
- Act as a central coordination point between internal teams such as sales, operations, and delivery.
- Support procurement by raising purchase orders, tracking materials, and following up with suppliers.
- Ensure timely delivery of materials to avoid project delays.
- Assist in managing project variations, updates, and documentation.
- Support project close-out by ensuring all records and documentation are complete.
- Identify and escalate issues impacting timelines, costs, or delivery outcomes.
- Follow structured processes to maintain consistency across all projects.
- Provide administrative and coordination support to ensure projects are delivered on time and within budget.
Required Experience
- Experience in administration, coordination, or project support roles.
- Experience managing multiple projects or tasks simultaneously.
- Experience supporting field-based or technical teams is highly desirable.
- Experience with Simpro or similar project/job management systems is required.
Minimum Qualifications
- Relevant experience in project coordination, administration, or related roles.
- Strong understanding of project workflows and documentation processes.

- High attention to detail and accuracy.
- Clear written and verbal communication skills.
- Ability to work remotely and manage time independently.
- Structured, reliable, and process-driven approach.

- Ability to work in a fast-paced and dynamic environment.
Proficient With
- Project/job management systems (e.g., Simpro or similar).
- Microsoft Office tools and documentation systems.
Experience Advantage
- Experience working with security systems, technology, or integrated systems projects.
- Experience supporting Australian or international clients.
- Experience coordinating with technical or field service teams.
